Privacy Policy
Last updated: October 17, 2026
This Privacy Policy describes how MedSpace Pro (“MedSpace Pro”, “we”, “us”, or “our”) collects, uses, and shares information in connection with the MedSpace Pro platform (the “Service”). This Policy is part of, and should be read together with, our Terms of Service.
1. Information We Collect
We collect the following categories of information:
- Account information: name, work email address, company/organization name and role, and login credentials.
- Project and budget data: budgets, cost assumptions, project scope details, floor plans and other uploaded files, and (when Bid Features are available) bid submissions and related communications.
- Usage data: log data, device and browser information, and interactions with the Service, collected automatically.
- Communications: messages you send us, such as support requests.
Billing and payment information is not currently collected by the Service. If we introduce paid plans, this Policy will be updated to describe how payment information is handled (typically by a third-party payment processor, not stored directly by us).
2. How We Use Information
We use the information we collect to:
- Provide, operate, and maintain the Service, including generating budget estimates;
- Authenticate users and secure accounts;
- Provide customer support and respond to inquiries;
- Send account-related communications, including invitations, password resets, and service notices;
- Monitor, investigate, and prevent fraud, abuse, and security incidents;
- Improve and develop the Service, including through aggregated, de-identified analysis of budgeting data; and
- Comply with legal obligations.
3. Staff Access to Your Data
MedSpace Pro personnel may access company, project, budget, and (when applicable) bid data stored in the Service as needed to provide customer support, troubleshoot issues, maintain security, and operate the Service. Access is limited to what is reasonably necessary for these purposes.
4. How We Share Information
We do not sell your personal information. We may share information:
- Within your organization: data you submit to a shared company or project workspace is visible to other Authorized Users on that workspace as intended by the Service’s design (for example, teammates on the same company account).
- With other parties to a project: where the Service is used to share budgets with a healthcare entity client, or (when Bid Features launch) to exchange bids with subcontractors, information is shared with those other parties as directed by you or your organization.
- Service providers: we use third-party vendors (such as hosting, database, email delivery, and error-monitoring providers) to operate the Service. These providers may process data on our behalf and are bound by confidentiality and data protection obligations.
- Legal and safety: we may disclose information if required by law, legal process, or government request, or to protect the rights, property, or safety of MedSpace Pro, our users, or others.
- Business transfers: information may be transferred in connection with a merger, acquisition, financing, or sale of assets.
5. Data Retention
We retain account and project data for as long as your account is active or as needed to provide the Service, and thereafter for as long as necessary to comply with legal obligations, resolve disputes, and enforce our agreements.
6. Data Security
We use reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure, including access controls, encryption in transit, and routine backups. No system is completely secure, and we cannot guarantee absolute security.
7. Your Choices
You may update certain account information directly within the Service. To request access to, correction of, or deletion of your personal information, contact us at support@medspacepro.com. Because the Service is used in a shared company/project workspace, some data may be controlled by your organization’s administrator rather than by MedSpace Pro directly, and requests regarding that data may need to be directed to your organization.
8. California Privacy Rights
If you are a California resident, you may have rights under the California Consumer Privacy Act (CCPA), as amended, including the right to request access to, deletion of, or correction of your personal information, and the right to opt out of the sale or sharing of personal information. We do not sell or share personal information as defined by the CCPA. To exercise these rights, contact us at support@medspacepro.com. We will not discriminate against you for exercising these rights.
9. Children’s Privacy
The Service is intended for business use by adults acting on behalf of companies and healthcare entities. It is not directed to individuals under 18, and we do not knowingly collect personal information from them.
10. International Users
The Service is operated from, and data is processed in, the United States. If you access the Service from outside the United States, you consent to the transfer and processing of your information in the United States.
11. Changes to This Policy
We may update this Privacy Policy from time to time. If we make material changes, we will provide notice through the Service or by other reasonable means. Continued use of the Service after an update constitutes acceptance of the revised Policy.
